# Attendance Reports

The Attendance Report is a Special Report that lets you see who has been attending — or missing — events for a group over a chosen period. Use it to identify people who may be falling through the cracks, to follow up with those who have missed several sessions, or to export a record of attendance for any date range.

There are three Attendance reports available under Special Reports:

- **Attendance** — the main report showing members' attendance against events
- **Attendance Visitors** — shows visitor (non-member) counts recorded against events
- **Attendance Notes** — shows the leader notes recorded for each group session

## Before You Begin

Attendance Reports draw on attendance data that has been recorded in infoodle. Before running a report, make sure attendance has been entered for the group — either through the Group Attendance tab, the App tools Attendance screen, or Event Attendance on the Calendar.

Tip: If you remove a person from a group, their attendance history is also removed. To keep their history while marking them as no longer active, set their group permission to Past Member instead of removing them. See [Group Permissions](/v1/docs/group-permissions) for details.

## Running an Attendance Report

1. Select **Reports** from the navigation menu.
2. Under **Special Reports**, click **Attendance**.

3. Set your report criteria (see options below).

4. Click **Generate** to view results on screen, or Generate as **Excel** to download a spreadsheet.

## Report Criteria

#### Group

Select the group you want to report on from the dropdown. Only groups you have access to will appear.

#### Include subgroups

Tick this option to include all subgroups of the selected group in the results.

#### Date Selection

Choose how you want to define the date range:

- **Date range** — select from a preset option such as Past 7 days, Past month, This year, etc. This is the recommended option if you plan to save and re-run the report.
- **Exact date range** — manually enter a Starting date and Ending date. The default is the past month from today.

#### Attendance Filters

You can filter the results using one or more of the following:

- **Missed consecutive events** — only show people who have missed this many events in a row (e.g. enter 3 to find anyone who has missed 3 sessions consecutively)
- **Missed any events** — only show people who have missed at least this many events in total within the date range
- **Attended at least** — only show people who have attended at least this many events within the date range

Leave these at 0 to show all members regardless of attendance.

#### Member Status

- **Include non-active members** - tick this to include past members and others who are not currently active in the group. Leave unticked to show active members only.
- **Event (optional)** - You can optionally filter results to a specific recurring event if the group has multiple events linked to it.

## Working with Results

On-screen results show each group member alongside their attendance for each event in the date range. The Contact button at the bottom lets you **send an email or text** to the people shown in the results (regenerate the report first if you've navigated away).

## Saving and Scheduling

You can save your report criteria so you don't have to re-enter them each time:

1. Set your **criteria** and click **Save**.
2. Give the report a **name** and choose whether to save it as a **Global report** (visible to all users) or under **your own reports**.
3. Saved reports appear in the left-hand panel on the Reports screen.

To run the report automatically on a schedule:

1. Go to **Reports** then **Schedule**.
2. **Add** a new schedule
3. **Select** your saved Attendance report
4. **Choose** how often it should run and who should **receive** the results by email.

## Attendance Visitors Report

The Attendance Visitors report shows visitor counts (non-members) recorded against events for a group over a date range. Select **Reports** > **Special Reports** > **Attendance Visitors** and choose your group and date range. Results can be viewed on screen or exported to Excel.

## Attendance Notes Report

The Attendance Notes report shows any leader notes recorded for group sessions within a date range. Select **Reports** > **Special Reports** > **Attendance Notes** and choose your **group and date range**.
