What is a Quick Download
When connected to Xero, infoodle will automatically connect and check for new or updated Xero data on a 3 hourly Cycle. However, there may be times when you want to trigger an Xero Data import, and this can be done from infoodle via a Quick Download.
Common Reasons for running a Xero Quick Download are:
- You recently Reconciled Transactions in Xero, and want to process these immediately in infoodle, rather than wait for the next data poll to run
- You have made changes or corrections in Xero, and want to pull these updates into infoodle immediately
- There are historic transactions reconciled in Xero which have not been imported, or there are Xero transactions missing from infoodle
Running a Quick download can have an impact on the page loading and response times for all users on your infoodle site, for the duration this import is processing.
If you have a large volume of Transactions to import, or a broad date range to check, we advise waiting until there are few other users working, if possible.
Performing a Quick Download
Navigate to Finance | Transaction Processing | Xero Imports | Quick Download
On the Quick Download screen, there are 3 separate Date Settings Available to configure. It is important that you understand what each of these relates to so that you can configure the Quick Download appropriately.
- Transaction Date From - The Earliest Transaction date in Xero that you want to check for, i.e. the Start Date
- Transaction Date To - The Latest Transaction date in Xero you want to check for, i.e. the End Date
- Updated Since - The date that transactions were last handled or updated, i.e the date it was Reconciled OR the date it was last changed or edited in Xero
- Click the Import Transactions button, to run the Quick Download - You will see a spinning icon indicating that the import is in progress
A Quick Download may take some time to process fully.
This time can vary considerably, depending on factors such as:
- The length of the Date Range you are checking
- The Volume of Xero Data to check through
- The Number of Bank Accounts and Account codes you are monitoring
Quick Download Results
Once a Quick Download has finished processing, the results of this import will be listed.
The Exact results message may vary slightly but the possible results should fall into one of 3 broad categories.
Import Complete - No Transactions to Reconcile
This means that the import has completed sucessfully but there were no new transactions to be reconciled. This could mean that either no new data has been imported, or that there are no unreconciled transactions in infoodle that have updates pending from Xero.
Import Complete - Transactions ready to Reconcile
This means that the import has completed successfully, and there are new transactions ready to be Reconciled. This result will list one or more Xero Batch numbers, as well as the number of Unreconciled Tranasactions in that batch.
You can click the Reconcile option to proceed to reconciling those transactions.
Import Complete - Transactions Autoreconciled
You will see this result if there were new Transactions imported from Xero that have Automatically been Reconciled in infoodle to an infoodle contact. This result will indicate the number of transactions that have been Autoreconciled, but no specific details.
If needed, you can use a Finance Report or search via the Transaction Status or Find screens to review the Reconciled transactions for a specific date Range.
Depending on the data imported, you may see an import result with a combination of Transactions Autoreconciled and Transactions imported and waiting to be reconciled.
