infoodle App

We’ve released an updated to the Android version which contains a few minor adjustments and fixes. The Apple update will come soon. The new version is available at the Google Play Store.

Stock Items

a) On the Stock Items screens:

• when you delete a stock item it only marks it for deletion, i.e. it doesnt actually remove it from the database
• you can now choose to filter the list based on deleted or active stock items.
• a deleted one can be edited and made active again

b) On forms:

• when you are editing an active form, or adding a new one then infoodle shows you the active stock items
• when you are editing an inactive form, you see active and in-active stock items.

COVID Functions

New Zealand has entered the new traffic light system today. This brings with it certain new restrictions and also data management issues. We’ve made a number of changes to our system to assist you in a variety of ways. Look into our help system to see how infoodle can assist you. These things include storage of the pass expiry date either yourself or allowing your logged in users to do it themselves. This data become relevant when you are checking people into your events.

Report

You can now run a report that filters based on the type of email or phone. Likewise we’ve added a few options to be able to output the relevant data with or without this type.

Forms

The labels can now have styling on them so if you wanted a label to have bold text just wrap it with
:bold: the text you want bold :/bold:

Added 3rd

infoodle App

We’re proud to release the infoodle App. This is a free extension to your infoodle package, available to all our clients. The app is something you can use to enable your community to connect with you and optionally connect to your data in infoodle. You can add links to web pages, pdf content, live streams. You can also link to the directory, events, rosters, groups and more. To access this, go to administration and use the new Phone App feature to configure it - then point your users to either the Google Play or Apple App store.

Check In

The check in process has had some updates. The key reason is to enable you to run a daily check in for people to easily check in and out. Previously it was aimed towards a checkin/out process for a specific event.

Using the ‘list’ search method, you click ‘check in’ on an individual. Clicking ‘cancel’ will cancel the check in completely - i.e. it corrects a mistake. After a few seconds the button text changes to ‘check out’ automatically. Clicking check out will retain the check in time and check out time - and so you end up with a duration which is calculated on the attendance report screen.

You can also go to the check in report screen, and can edit these check in /out times for those people who forgot to check out, or did it out of time.

Login

In preparations for further changes on the way - we have upgraded our login screen. This is currently accessible from the long page using the new link. It provides all the same functionality as the current login screen - just a refreshed look. You may wish to change your site message and your site logo to show there.

Notes

We've made an adjustment to clarify the Notes creating and editing dates and times. The updated functionality is that the creation date is always the date it was actually created, it previously was based on the date you entered in the screen, therefore if you pick a future or past date for the note, your create date and date of note will be different. Also, when you pick a future or past date, the time will be set to midnight at the start of the day. Previously it was using the current time which caused a bit of confusion, particularly for future dates and lists.

Login

We've removed the facebook login from the login and settings screens. As it was not being used.

Events

If you do not have edit access to an event you are now able to view the details of it - in read-only mode. This is available in the calendar view by clicking on it, or in the list view by clicking on the 'eye' icon

Form entries

Whilst using the reCapcha option on a form is the best way to stop spam, some still get through, or reCaptcha may not be the right approach for you. We've dipped our toe in identifying spam based on some patterns we are seeing. You are alerted to this by the notification email stating as such - and the form list screen will show a warning:

and the reason infoodle thinks its spam along with the option to delete the form without viewing it.

Receipts

We've added the tag of accode to be able to add the account code to the receipts (not just the description of the code).

Letters

We've added DL and DLE as page sizes. These are envelopes, so if you want to print addresses directly to envelopes you can. infoodle will rotate the text as is required so be sure to get the Header and Left values correct. Good starting values are Header = 20, Left = 90.

Reports

Those fields being used as 'Connections' fields have had an upgrade. They can be used in infoodle as a standard custom field, and also as a Connections field which allows you to create connections between contacts. There are changes in the reports area:

• Criteria If you choose a field to be a criteria then you will see the field and also another field with the same name but with (Connection) on the end. These allow you to choose how you want to filter the data, based on the custom field or based on the connections data.
  
  

• Select fields You will now see two additional fields for each connection field:

  a) (Connection - All Connections). This will show the list of all the connections the contact has.
  b) (Connection limit by criteria). If you have used the Criteria to find the data you want on a connection field, then this will return the connections just for the data that matches the criteria.

Letters

We've added 4 new fields to the letter personalisations.

• middle name
  
  
• gender (if you have gender enabled in your system)
  
  
• agetoday : to show the age as it does on the persons profile page beside date of birth

Significant Update

We've talked about it a lot - but we have now completed the upgrade to infoodle.

Some of the highlights are as follows:

Emails

We have rebuild all of our email processing screens and behind the scenes systems. This has brought massive benefits to you. You can now create beautiful emails within infoodle quickly and easily. This should improve the engagement you get with your community and make your emailing more enjoyable.

This also brings additional benefits in other places:

• Workflow - emails can include attachments.
  
  
• Scale, Speed and Efficiency - you can send thousands of emails in just a few minutes
  
  
• Tracking - all your opens, clicks, failures are tracked and showed clearly within infoodle. You can also create follow up groups and emailing to those with specific actions.
  
  
• Built-in subscribe and unsubscribes - these are included for you and now enable your community to select what types of communications the do and do not want to receive from you.
  
  
• Editing emails - there were limits on the emails you could edit, now emails sent through infoodle by you can be edited
  
  
• Select people by Reports - on the screen where you select who to send emails to, you can use a report you have saved previously.
  
  
• Person profile, email address - an email address that is partially or fully unsubscribed is highlighted. You can also click on the wrench beside it to see more information about why its in the state - and change it if need be.

Features for when you out of the office

Many of you do not work every day, you can now tell infoodle which days you work which will stop your reminder emails arriving on those days. You can also setup an out of office for longer breaks from work.

New Password reminders

For better privacy, you are sent an email with a password setup link.

Forms

We have introduced a "Form Page Break" field. By simply dragging this onto your form you can break a long form into 1 or more pages. You can also route a user through your form based on answers to questions - conditional fields.

Header bar

For administrators, there is a new Capacity chart being shown to you once infoodle has the data. It is updated overnight each night - and also each time you go into Administration -> Site Statistics menu.

It shows you how much of your current capacity you are using.

Email Attachments

ICS file format is now supported - this is useful for sending out calendar reminder notifications in a standard format.

The attaching of files from files held in the library - as well as the attachments coming into the inbox has been improved to use the correct filenames.

Campaigns Screen

The header has an additional option - Hide Inactive Campaigns. This allows you to keep out of sight those campaigns that are inactive based on the start and/or end dates.

These two settings are also being stored for you, so that the next time you show this screen the settings are remembered.

Reports - Group membership

We've added another field you can output. This filters the groups a contact is connected to, removing those groups that are hibernated or expired as at the time you run the report.

Enforcing Password Lengths

We've enabled you to control the minimum length of a password for your system. This is checked when people set their passwords.

Click Administration -> Roles -> Login Settings to make the change.

Preferred Contact Method

This field helps to filter output so you can communicate with people how they wish. It’s not always useful to you - so we've provided the means for you to remove this from infoodle.

Click Administration -> Custom fields -> Field Options.

Dashboard - ToDo widget

When you hover your mouse over the words 'due soon', 'overdue', 'due today' then the actual date is shown.

We've tweaked the header bar to show and explain whats being filtered.

Rosters

You are now able to add organisations to the roster, the roster and the exports now show the organisation name.

The presentation of the roster to the user has been updated to show those who have confirmed and those rejected.

Daily Tasks

Each day there are a number of tasks that infoodle performs for you, these include, most commonly, taking payments, sending out task reminders. This used to take place at 7am. For operational reasons associated with some of our providers we've moved this to 3am - so you're task reminder emails are now arriving a little earlier!

Updates Have Moved

To improve our communication of updates and other events which are important for you to be aware of, we are now highlighting the number of updates for you - and showing them within the infoodle product.

Email Addresses

We've improved the messaging around invalid email addresses during the send process so that errors are shown with that error.

Private Data Report

Added the ability to filter by group, and added the Unique ID.

Billing

For those who pay infoodle by Stripe - they have access to the billing screen via administration.

We've now included the list of your invoices paid and your next invoice along with the details.

You can also view those invoices.

Person - Finance - Voided receipts

This screen would show you voided (deleted) receipts for the person. This is now clearer to show you receipts that are queued (waiting to be emailed out) or voided with the wording updated.

Forms

The forms list screen has been updated:

• If a form has been limited in terms of who can process it and you are not in the list of individual or group members (full member or administrators), then the access to process entries is hidden from you. Check the 'i' to see the permissions if you are expecting to be able to see them.
  
  
• This now gives more options to filter the list of forms in your system, e.g. you can now see forms that you have no access to edit or process entries for. It will show you who does have access also.
  
  
• Hover over the 'I' icon, to see if there are any permissions on who can edit or process forms.

Reports

• Group Skill filter - you can now choose the state of the Group e.g. report on group skill for only those groups that are Hibernated. Previously the skill was reported against any group regardless of whether it was active, hibernated or expired.
  
  
• You can now update the details of the saved report without always creating a new one.

Mailchimp

You now have the ability to Disconnect from Mailchimp so that changes made in Mailchimp are not sent to infoodle.

Printed Receipts

The printed receipts screen has a Status filter. We've added 'Queued' onto this for those receipts that are being emailed out - you can see how many are still in the process.

Dashboard - Anniversary widget

We've added a new option to show only those anniversaries where their dates are in the future. This can be handy if you record a date that is in the future and want to ensure you see this in your list rather than those that are 1, 2 or 3rd or more anniversary.

Reports - Finance

We've added 'Transaction note' as a field you can use as a criteria.

Person’s Profile Page

A new icon is available in the header fields area. This allows you to change your default view to hide or show fields that are blank - reducing fields that are not needed on that page for that particular contact. This setting is retained for your own setup.

Reports - Notes

Two new criteria for you have been added:

• Notes for an individual (this is where a note is set to be for a specific individual).
  
  
• Notes for a household (this is where a note is set to be for a specific household or organisation).

Receipts that failed to send

There is a new filed on the printed receipts screen "Email queued or Email failed". This allows you to see emails that were unable to be sent and shows you why - and what the problem was - and the chance to re-send after corrections have been made.

People - Show All

You can link to this page from other applications (such as phone systems). You can now add options to the link which allows you to search by different methods and return just those people who match.

You will need to include two new parameters to the URL: query and queryby.

queryby must be one of:

• name
• email
• phone
• postcode
• country
• hhname
• hhid
• address

query must be the data you are wanting to search for.

Example:

API - people
The URL to directly show the page for the person returned in the API search methods has been added as a new output. This means you can present that link to a user and they can click it to go directly to the user.

Gift Aid - Adjustments
These are now shown when reviewing a claim that has been filed.

The adjustment is reduced from the invoice.

Gift Aid - Reports

For those who have access to the Reports area of infoodle, and have gift aid - we've made some additions for you to improve the flexibility of data you can extract and therefore improve the power of infoodle for you:

• New Criteria on Person : Active Gift Aid Approval. This asks for a single date, and it will show you those people who have an approval available on that date.
  
  
• New Criteria on Finance : Transaction Gift Aid Claimable. This extracts those transactions that could be claimable, assuming the donor has an active gift aid approval.
  
  
• New Select Fields : Finance Transaction List section : Gift Aid Claimed. This shows how much was claimed from the HRMC.
  
  
• New Select Fields : Gift Aid Approval section. This gives you access to the fields in a persons gift aid approval.

Gift Aid - Role Administration

We have exposed the Roles function in the administration. This way you can see who has logins and if they are using them. You can also enforce 2-Factor Authentication on all logins if you need for greater security.

Printed Receipts

You now have the option to download a copy of a previously generated receipt and add the watermark of 'Copy' behind the text.

Rosters

New personalisations have been added to the Contact screen for email. This enables you to send out an email with a link to the persons roster so they can review it, set away dates. This does not require the app or a login to review the data.

Workflow

When adding notes - you can now select the note type and the note colour key so that your workflow added notes honour these settings and you don’t have to re-edit a note!
