Printing a Report

Once you've generated a report, infoodle offers several ways to view and print the results depending on your needs — view on screen and print from your browser, export as Excel, export as CSV, or (for Events) export as a PDF check-in form.

How to Access Print Options

  1. Create or load a report using one of the report tools:
    • Report Areas — People, People - Notes, or Assets reports
    • Special Reports — Pre-built reports like Attendance or Volunteer Hours
    • Financial Reports — Finance area reports
  2. Complete your report criteria, filters, and field selections
  3. Click the Generate Results tab (or equivalent in your report type)
  4. Your results will appear in a table

Viewing and Printing On Screen

To view your report results on screen and print them from your browser:

  1. After generating results, the report table will display on screen
  2. Click the Print button in the top-right corner of the report area
  3. Your browser's print dialog will open
  4. Select your printer and print settings (page layout, margins, colour, etc.)
  5. Click Print

Tips for printing on screen:

  • The report will print exactly as displayed, including all visible columns and rows
  • If your report has many columns, it may require landscape orientation to print clearly
  • Use your browser's print preview to check how the report will look before printing
  • Adjust column widths in the report before printing if needed

Exporting as Excel

Excel is useful for detailed analysis, further processing, or long-term storage.

  1. After generating results, click Export to Excel (or Generate as Excel)
  2. A .xlsx file will download to your device
  3. Open the file in Microsoft Excel, Google Sheets, or another spreadsheet application
  4. From there, you can:
    • Print the spreadsheet using File > Print
    • Further analyse or manipulate the data
    • Save for records or sharing

Exporting as CSV

CSV (Comma-Separated Values) is a plain text format useful for importing data into other systems or for universal compatibility.

  1. After generating results, click Export to CSV (or Generate as CSV)
  2. A .csv file will download to your device
  3. Open the file in a spreadsheet application, text editor, or import it into another system
  4. If opening in a spreadsheet, you can then print using File > Print

Exporting as PDF (Events Only)

Some Special Reports — specifically the Check-in Form — can be exported as a PDF for printing and use at events.

  1. After generating an applicable report (e.g., Attendance), click Generate as PDF
  2. A PDF file will download to your device
  3. Open the PDF and print using your PDF viewer's print function
  4. The PDF is formatted for event check-in use (typically one page per event or group)

Note: PDF export is only available for certain Special Reports. Not all reports support PDF generation.

Tips

Choose the right format — On-screen printing is quick for immediate use; Excel is better for analysis; CSV for importing into other systems
Landscape orientation — Reports with many columns print better in landscape mode. Check print preview first
Large reports — Very large reports may be easier to manage as Excel exports rather than printing directly
Margins and scaling — Adjust your browser or spreadsheet print settings to avoid cutting off columns or rows
File naming — When exporting, give the file a descriptive name with the date (e.g., "Active Members 2024-01-15.xlsx")
