Ezidebit - Payments

There are times when payments are made through Ezidebit and you wish to use the infoodle reconcile process for Ezidebit. This may result in the ability to match the payment with the infoodle data.

The Finance > Payment methods > Ezidebit > Statement screen now includes an 'edit' for each transaction to enable you to change the payment reference data so it can match the infoodle data.

Payment Tokens

There are occasions when a payment token needs to be manually updated in infoodle based on some other activity that occurs outside of infoodle. You can now manually add or update a token for a recurring payment (pledge). On the persons profile, finance tab, pledge tab there is an action menu for each pledge. If its a credit card payment method you now have the additional menu item of Edit Payment Token.

Person’s Archive/Delete

A new menu item is available to all users (except your own profile, or if you don’t have permission) - Change Archive/Delete status. This allows you to archive and optionally delete a contact in one go - from a standard location.

Phone App

Once you are logged in, on the infoodle Tools menu - there is an additional link Login details which allows you to change your username and/or password

Bulk privacy changes

You are now able to change the privacy settings for all existing data e.g. make everyone visible on the directory or not.

This is done in the Administration -> System -> People area -> Change the privacy option.

Workflow - Bulk changing group permissions

When using the 'update all groups' step, and selecting 'Past Member', the date left is set to the date the step was actioned.

Events

You can now record an event as 'cancelled', which shows with a line through where possible

Reports

Date fields have the preset ranges. Two more have been added, Min Months in the past and Min Months in the future. This means you can report on a date that occured at least 5 months ago, therefore capturing 5,6,7 etc months in the past.

Reports - Assets

The fields have been named the same as the actual asset field and all the fields are included.

All of the fields that make up an asset are now available on the reports.

Reports - Pledges

Two new criteria have been added to the finance criteria:

  • Pledge payment method - filters pledges based on their payment method.

  • Pledge status - filters pledges based on their status e.g. active, closed, cancelled.

Checkin

  • There is now a report available along with the attendance report, there is now a visitors report which lists the details captured for the visitors

  • Checkin counts, this can now be shown or hidden as you wish.

Rosters

You can subscribe to the events using the ical feed. This feed now included the roster positions the person is rostered into.

Person profile - Groups

The ordering of the groups is now more consistent with the groups pages in general.

Reports

  • The 'group (limit to criteria)' has been extended to honour the Group Type, and the memberships within the Group Type.

  • The order of the address fields in the reports has been corrected for UK addresses

  • Date ranges. We've added two more date ranges you can choose from, these are custom values i.e. you can choose what you want in there. Its the number of months either in the past or the future, therefore if you wanted to always run a report for dates that are 11 months ago (therefore they will be coming up for their 1st year anniversary you can choose 11 months in the past.

Forms

  • If you are wishing to include javascript in your forms for any special functionality, we've added the ability for infoodle to check for the function "userPageLoaded()". This is called after everything is loaded.

  • Multiple Email addresses and phone numbers can now be added to a form for an individual

Dashboard Widgets - ToDo

Two more criteria to help with those doing lots of tasks:

  • Exclude tasks assigned to this group: This will take out of the list those tasks that are assigned to a specific group.

  • Show tasks for people who are in group: This will review all the people to whom tasks are assigned, and only show for those people in a specific group.

You can combine these filters if needed, and don’t forget you can have multiple ToDo widgets on your dashboard with different filters.

Addresses

Some New Zealand addresses are requiring additional address lines - particularly when data is returned from SOA. infoodle now caters for these additional lines.

Forms

A new field Total stock added is available. This allows you to enforce a minimum number of items to be select in the form. e.g. if you have Adult and Child tickets (stock items) you want to enforce that at least two tickets are bought across the 2 ticket types.

Groups

The navigation of groups has been changed such that you can move between group pages more easily. Also when you working in a group, the links at the top of the group area now function to show the sub group list making it much easier to work on a selection of groups as you need.

Addresses

For (currently) UK clients, we have extended the number of address lines by a further two lines throughout the system to give more flexibility with entering and managing addresses.

Receipt Personalisations

Three new personalisations have been added. They allow you to show how many transactions are included in the receipt:

  • {num_tax_items}
  • {num_nontax_items}
  • {num_items}

Receipts

Sending out receipts has been updated. The receipt is now attached directly to the email. The link is still required on the email. Clicking this will download the PDF directly rather than going via a preview or download screen.

Events Attendance

This menu item was only available when the site had the events module enabled. This is no longer the case; it is always available

Support for those with Letters after their names

We needed to support those names where their honorary titles were properly managed. If you need letters after the name, you can enable the 'suffix' via the Administration -> Custom Fields -> Field Options screen.

Notes

The ability to have the Add/Edit popup was popular! This has been re-instated as an option. There are new icons beside the +Note button, and edit links on the notes section. These show the screen in a popup window allowing you to move around the screen as needed.

Date saved changed notification - to ensure visibility, if the date the note saved is different from the date it was created, an icon appears beside the date saved text on the note. Hover your mouse over this to see the original created date.

You can now set and edit the date of a note.

The layout of the notes has been updated - to match the ToDo/Task maintenance screens.

Files

You can now change the date a file was uploaded

Checkin

For List view checkin and Checkout a search has been added to quickly find the person you want.

Also the Bar where the contact is shown is not clickable, its just the button.

Dashboard Widgets

There is a new filtering option. You can now filter just for those items that you are specifically identified as someone to do it - either you created it for yourself, or you are identified as a person to do it - i.e. not in a group.

Dashboard - ToDo’s

You can now add a filter for 'Group Assigned To' to limit the ToDo’s shown to just those which have been assigned to a specific group.

2-Factor Authentication (2FA)

There is a new screen available in the Administration/Roles screen - 'Login Settings'. With this, you can enforce 2-Factor authentication across all of your users. A warning is shown to them up to the date you specify after which they are not able to do anything other than setup their 2-Factor Authentication.

Using Middle Names

Middle names are hidden in most search and display functions by default. You are now able to tell infoodle to include these.

This is done in Administration -> Custom Fields -> Field Options.

Campaign Tracking

You are able to track the success - or not - of a campaign. If you use infoodle to generate Emails, Letters or Labels you can choose a campaign to attribute the output to - remember to make it active once sent.

With this completed, as you receive transactions - you select a person and infoodle presents to you the campaigns output that the contact has been sent and you can choose whether to attribute this income to that campaign.

With that complete you can go to Campaign, Report and choose the output 'Total per selected campaign with tracking'. This shows various stats regarding the campaign to show how successful it was.

Checkin

Additional functionality added:

  1. Visitors now capture more fields (cell, email, allergies, brought by and brought by contact). This information is now available through the Check In reports screen, click on a visitor to see the details.

  2. When adding visitors, the total count of people checked into the group is incremented accordingly.

  3. You can now set a capacity for each group. When checking people in the capacity is shown next to the counts. If capacity is reached or exceeded the information is highlighted (you can continue to check in though).

  4. The capacity per group is remembered so you dont need to complete it next time.

Forms - Stock items

To enable better visibility of ticket sales, we've made a few changes:

  1. When building the form, you can now specify whether the user should be shown how many of those stock items are available. You can specify the number at which infoodle shows this, e.g. if you have 100 tickets, only show how many are available when there are only 10 left. This is optional.

  2. When the price is zero for the stock item, the price and total amounts are not shown - as they are free.

  3. You can set the default number of tickets to include - and then set the field to 'on process form only' so the user does not see this. This is useful in a repeating block, when each repeat represents one person.

  4. If there is no stock available, the quantity, price and total are replaced with the word 'None available'.

  5. As quantities are entered, the available stock is recalculated and if it goes below zero then this is highlighted to the user.

infoodle App

An update has been released with a change to allow the correct formatting of addresses together with some minor adjustments.

Campaigns

By default, all campaigns are always listed throughout the system. If you are using the start/end dates to control the campaigns you wish to use, you can now tell infoodle to hide those campaigns that are not current. Do this on the campaigns screen, click 'configure'.

Transaction status

You are now blocked from unreconciling a transaction that has been receipted.

Statements
There is now the option to not generate printed or emailed statements for those people with a zero balance. The balance is also shown on the screen for reference.

infoodle fields

A few adjustments when working with the infoodle fields in the custom fields area. These are the 'locked' fields.

  1. Update custom fields. This screen now honours settings for infoodle locked fields e.g. whether its a report criteria or now.

  2. Report criteria uses field names user may have changed.

  3. Report select fields uses field names user may have changed.

Reports

The select field tabs now highlights the fields ticked for outputting in the report.

Date of the pledge item (i.e. not the overall pledge) is now available to select fields.

Can now schedule a report annually.

Pledge frequency is now available as a criteria on reports e.g. get all pledges that were Monthly.

Checkin

The check in system and the app tools attendance check in now show the total number checked in to the respective groups.

Forms

You are now able to use a form to upload files into infoodles library. This can either be a library collection or the files area on a person (or household/organisation) screen.

API

More search methods available on people.

Pledges

Can now cancel a pledge - on the persons profile, finance, pledge.

Recurring income

Now able to search by form entry ID.

New Custom Field type

You can now add a custom field type that can hold multiple selections. For example, in a field that contains interests, you can choose one or more interests. This can be reported on and used as a criteria to search on.

Profile Page Layout

You are now able to configure the profile page to show different blocks of content. These can be new system defaults or settings configured by a logged in user. It only affects the page when looking at the web. This means those individuals who focus on finance can put the finance on the front page, those who focus on files can put those, and those focus on notes can put those - or all three! See here for more information.

Connections

There is a new method of connecting contacts. This is in addition to person link custom fields and alternate households. Its called Connections. This allows you to determine many relationships between contacts and they can have different types of relationships. You need to

  1. Configure which lookup fields you want to use to describe the relationships in administration/custom fields

  2. Configure connections to be available in the profile page layout (as described above).

People screen

edit button
When you have the ability to edit on the profile screen, the edit button has been moved to a standard place. This is the same for all tabs. Note the household edits remain in the same place

The add function has been added here, and the edit features are now available once you have clicked 'edit' in the block.

header block
The header block beside the image has been tidied up

date of birth
When clicking 'Remove year', a confirmation message is shown to clarify what will happen.

multiple browser tab support
infoodle now supports working on different contacts in the same browser on different tabs.

Administration Custom fields

There are two locations where fields can be listed on the profile page, the header and within the organisation/household list block. These two places are configured separately, and there are now two menu items to assist here.

Xero - Contacts

When creating/updating contacts in xero from infoodle you can now control the order of the firstname and lastname fields (finance/configuration/xero setup/contacts)

Xero - Tracking Categories

When you specify the usage of a tracking category to be for Campaigns, you may need to control whether to present the campaigns or the tracking categories or both when users are adding transactions. You can now control this on the finance/xero imports/tracking category screen.

Finance Audit Trail

The Giving number has been added to the list of fields output. This is visible when you have access to the giving numbers in your role.

GoCardless

New payment gateway is now available. For more details see here.

Checkin

  • Can change event date so you can check future setups, and review previous days activity and reports

  • Report shows duration (difference between checkin and checkout)

  • Report, click on a name and it shows the custom fields from the label setting for checkin, and all adults in household together with phone numbers.

Attendance

On a persons profile, click the menu and there is a new item "Events attended". Shows a list of events (you can see based on groups and/or you can edit all events) they have attended.

Statements

The pledges and transactions can now be filtered according to Pledge Drives.

Assets

The list of assets can now be shown by 3 different groupings - name, group responsible and asset type.

Statement - personalisations

{balance of statement} has been added.

By default this will output a total value for all pledged and paid items that would have been listed under the 'all pledge items' personalisation.

You can tailor it to only count pledges, or only count paid for items thus:
