The Roster Report shows a summary of all the events a person has been rostered on to during a selected date period. It is useful for reviewing someone's roster history, checking their availability responses, and keeping records of their service contributions.
The report is generated from a person's profile and can be exported as an Excel spreadsheet or CSV file.
Before You Begin
- You must have the Events package enabled on your site. The Roster Report button only appears when Events access is available.
- You can generate a Roster Report for your own profile at any time.
- To generate a Roster Report for another person, you must have the Maintain All Groups permission in your role.
Generating a Roster Report
- Search for and open the person's profile page
- Click the Groups tab
- Click the Roster report button

- A dialog box will appear for you to select the date period you want to report on:
- Choose a From month .dSyear
- Choose a To month and year
- Select your preferred format:
- Excel (.xlsx spreadsheet)
- CSV
- Click Generate
The file will download automatically to your device.
What the Report Contains
The report includes one row per roster entry for the selected period. Each row shows:

| Date | The date of the rostered event |
| Event | The name of the event the person was rostered on to |
| Group | The roster group they were assigned through |
| Position | The position they were assigned to within that group |
| Availability | Their response, e.g. Available, Unavailable, or no response |
| User Message | Any message the person included when responding to the roster |
The report heading shows the person's name and the date period covered.
Tips
- No results: The report only includes roster entries where the roster is live and the event has not been cancelled. If the report is empty, check that the person has active roster assignments within the selected date period.
- Date range starts from 2012: The date selectors begin at January 2012, which is the earliest date available for roster records.
- Availability responses are set by the rostered person when they confirm or decline their position. If they haven't responded, the availability column will be blank.
