The Volunteer Hours Report shows the total hours recorded against your volunteers, organised by task or event and by month. You can run the report either from an individual's profile, from a group, or from the Reports menu.
What's included in this report?
The report combines volunteer hours from two sources:
- Volunteer Hours Tasks — hours you've manually recorded in the Volunteer Hours section of a group (recorded as task type)
- Event Volunteer Hours — hours assigned to volunteers when you record attendance at an event (recorded as event type)
Note: If you're looking for check-in/out times from your event attendance, see the Attendance Report instead. The Volunteer Hours Report does not include check-in duration — only manually recorded task hours and event volunteer hours.
Running the report from a person's profile
To see the volunteer hours for an individual person:
- Go to People and search for the person you want to report on.
- Click their name to open their profile.
- Click the Groups tab.
- Find the group you're interested in and click Volunteer hours report.

- Select the date range you want to report on (from date and to date).

- Choose your output format:
- View on screen — HTML table showing hours by task/event and month
- CSV — download as a .csv file to open in a spreadsheet
- Excel — download as an Excel (.xlsx) file

- Click Generate.
The report will show hours totaled by each task or event, with columns for each month in your selected date range, and a total column.
Running the report for a group
To see the combined volunteer hours for everyone in a group:
- Go to Reports then under Special Reports click on Volunteer Hours

- Select the group you wish you generate a report for

- (Optional) Check Include subgroups if you want to include volunteer hours from all subgroups as well.
- Then select the start and ending date range
- Click Generate by your required output format (Screen, CSV, or Excel).
Understanding the report output
The report shows:

| Task | The name of the volunteer task or event |
| Type | Whether this is a Task (manually recorded) or Event (from event attendance) |
| Month columns (e.g., Jan, Feb, Mar) | Hours recorded in each month |
| Total | Sum of hours across all months for that task |
Example:
If "Soup Kitchen" has 10 hours in January and 15 hours in February, it will appear as one row with Type "Task", showing 10 in the Jan column, 15 in the Feb column, and 25 in the Total column.
Export and reporting tips
- For Charities Commission or other regulatory reporting - Export to Excel and save the file with the date range and group name in the filename for easy reference.
- To track volunteer trends - Run the report with overlapping date ranges to see whether volunteer hours are increasing or decreasing over time.
- To check a single person's hours - Use the individual person report (from their profile) rather than running a group report.
