Email Purpose

The Email Purpose function provides a mechanism to specify an email address for a specific purpose. This is used currently to identify which person in a household/organisation will receive the receipt. This setting is optional, infoodle will calculate a recipient if one is not specified.

A persons profile screen in the contact details section includes an Email Purpose button. This is available when:

• The finance package is enabled on your site
• You have permission to edit the contacts record
  

Click the button to show a popup window which will show the following:

• All the people in the same household/organisation who has an email address regardless of whether it is active or not, is listed along with each of their email addresses.
• Contacts who have the same giving number are shown grouped together. If you have permission to see the giving numbers you will be shown the number also.
  

Adding a purpose

Identify the contact and email address(es) you want to specify the purpose of by clicking "+ Purpose". Select the item you want.

Removing a purpose

Click on the colored item to remove it.

Note that you are able to have multiple email addresses with the same purpose e.g. two emails can receive the same receipt.

Viewing the email purpose

In the household or organisation details content block, the fact that an contact has one or more email purposes is shown. e.g. Phoo Bear has one or more email addresses used for receipts

Viewing the identified profile - in the email section - will show if an email address has a special purpose, e.g. the following shows that the email address will be used when sending a Receipt.
