On a product that only takes payments on certain days of the month, you can move a member to another of its days.
Before you start
Role Permissions
- Manage finance configurations: needed to edit a membership.
For more about what each role permission means, see People Permissions.
Change the day
- Go to Finance > Membership Products.
- Click the three dots on the product's row, then click Members.
- Click the three dots on the member's row, then click Edit.
- Choose the new day in the Payment day list.
- Click Save.
The list offers the product's days, plus the member's current day if it was since removed. Once they move off it, it isn't offered again. A member with no day yet shows "Not set yet". Fortnightly memberships have no list.
What moves
- Payments still to come: move onto the new day, never earlier than they were due. Payments taken, overdue or due today stay put. The last payment can then fall after the membership ends.
- An open renewal: moves too, unless it is already collecting. Then change the day on the renewal itself.
- A bulk run membership's due date: moves with its first payment, unless it has passed, so reminders count from the new day. If the run raised a Xero invoice, the Saved dialog says "The first payment is now due [date]. Change the due date on Xero invoice [number] to match: infoodle does not change invoices already in Xero."
When the save is refused
Nothing is saved, not even your other edits, when you see:
- "The [amount] payment due [date] is still being processed. Change the payment day once it has gone through. Nothing was changed". A GoCardless Direct Debit instead "is still being collected by GoCardless, which usually takes 3 to 5 working days".
- "The renewal starting [date] is having its payments set up right now. Once that is done, change the payment day on the renewal itself (record [number]). Nothing was changed"
The member isn't emailed, so tell them their new date. The change shows in the membership's Audit trail as Payment day of the month, not in History.
