Removing someone from a group ends their connection to that group. infoodle offers two options:
- Past member keeps their membership history on both the group and their profile — ideal when someone has finished a role or left a team.
- Remove deletes the connection and its history — useful when the person was added by mistake or the group is being cleaned up.
This action doesn’t affect anything else on their profile; their details and other group memberships remain unchanged.
Before you start
Role Permissions
- Add people to groups
- Search groups I'm a part of, or Search any group
- Maintain all groups (only needed if you are not an Administrator of the group)

You will also need to be an Administrator of the group you are removing the person from, or to hold the Maintain all groups role permission. Full member and View only members can see the group's members but cannot change them.
If your site uses clusters, you cannot remove your own Administrator membership of a group in your cluster. Ask your site administrator to do that for you.
Set a person as a past member
This is the recommended option. The person stays listed against the group as a Past member, and their dates joined and left are kept on their profile and on the group's history.
You can find the group by clicking or hovering on Groups on the main menu bar on the left, then clicking the group name. When the group opens you land on the members list by default.

In the members list, find the person and click the Edit button next to their row.

On the edit panel, change the Permission dropdown (the member level) to Past member.

Set the Left date. If you do not pick a date, infoodle uses today.

If the person also belongs to parent groups of this group, tick Also change in all parent groups when you want the same change applied up the tree.

Click Save.
The person now shows in the members list when you switch the filter to Show Past members. They are not counted in All Active members. Their profile still lists the group, with the Past member badge and the date they left.


Remove a person and delete their membership history
Use this when the person was added in error, or when you want the group to forget the connection completely. The person stays in infoodle but the membership line and its history are deleted.

Open the group. You land on the members list by default.

In the members list, find the person and click the Edit button next to their row.

Click the Remove button at the top right of the edit panel.

The Remove panel lists this group and any related groups the person belongs to in the same group tree. For each one, choose Keep to leave the membership alone, or Delete to remove it. The default for every row is Keep.

If any related groups have a workflow set up to run when a member is removed, the Please choose which workflows to run list appears. Tick the workflows you want to run. This section only appears when at least one matching workflow is configured, so you may not see it.

Click Save.
Choosing Delete removes the person from the group and deletes the audit history of that membership. Set the person as a Past member instead if you want to keep the record of when they joined and left.

In both cases the person stays in infoodle. Their contact details, notes, files and other group memberships are not affected.
Remove from a person's profile
You can also reach the same edit panel from the person's profile when you want to tidy several of their group memberships at once.

Open the person's profile by clicking or hovering on People & Organisations on the main menu bar on the left, then searching for the person. On default infoodle sites this menu is labelled People & Households.

Open the Groups tab.

Find the group in their list and click Edit.

Errors you might see
A few group setups block removal. The error message tells you which one you have hit.
This change would remove you from this cluster. Ask your site administrator to make this change
Appears when you try to step yourself down from Administrator of a group that is in your cluster. Ask another site administrator to make the change for you.
Being removed from [group] will leave no administrator in an admin only group. No updates have been done
Appears when the group is set as admin-only and you are the last Administrator. Add another Administrator first, then come back and remove yourself.
Common questions
What is the difference between Past member and Remove?
Past member keeps the connection between the person and the group, just labelled as historic. Remove deletes the connection and the history of it. Past member is the right choice almost every time. Use Remove only when the membership was a mistake or when you genuinely do not want the group to keep any record of the person.
Can I undo a Remove?
No. Once the membership and its history are deleted you have to add the person back to the group as a new member. See Adding a Person to a Group. If you might need the history later, set the person as a Past member instead.
Why is the Remove button hidden on this group?
The Remove button is only shown to people with Administrator access to the group or with the Maintain all groups role permission. View only and Full members can edit some details but cannot remove members. Check your access on the group, and check that the group is not set to block edits, by opening the group, clicking Functions, then Edit Locked group status.
What happens to related groups when I set someone as Past member?
Past member only changes the group you are editing, unless you tick Also change in all parent groups on the edit panel. The Keep / Delete sliders on the Remove panel only apply to the Remove flow, not to Past member.
What happens to related groups when I Remove someone?
The Remove panel lists every related group (sub groups and parent groups of the group you are editing) that the person belongs to, each with its own Keep / Delete slider. By default they are all set to Keep, so removing the person from one group does not automatically remove them from related groups. Switch each row to Delete if you want a full clean removal.
Does removing a person fire a workflow?
Only when the group has a workflow set up with the Group member removed trigger. When the Remove panel detects one, the workflow appears in the Please choose which workflows to run list so you can pick whether to run it. Past member changes do not fire the Group member removed trigger.
Can I remove several people at once?
The members list edits one person at a time. To deal with several past members in a single sitting, open each person in turn from the members list. The Show Past members filter at the top of the members list helps you see who is already Past and who still needs changing.
