Re-triggering Notification and Response Emails After a Redirect

When you redirect a form entry to another form, the answers on the entry are rewritten to suit the form you moved it to. A yellow panel then appears at the top of the entry, headed This entry was redirected from another form. Original submitted values:, holding a read-only copy of the answers as they stood when you moved the entry.

The same panel carries two buttons, Re-send notification email and Re-send response email. They build each email again from the answers on the entry as they stand now, so the notification and the reply are built from the corrected answers rather than from what was first submitted.


Before you start

Role Permissions

You will need Need forms menu item, which puts Forms on the main menu, plus one of:

  • Process responses of forms given permission to: lets you open and approve entries on the forms you have been given access to.
  • Create and manage forms and entries (subject to cluster and form restrictions): for people who build forms as well as process them.
  • Can Approve Entries on all Forms (bypasses processing restrictions, cluster members still restricted): lets you approve entries on every form.

You will also need an entry that has already been redirected. The panel and the two buttons only appear on an entry that has been moved from one form to another. For how to move an entry, see Redirecting a Form Entry to Another Form.

Note, the redirect feature is switched on by infoodle rather than in Administration. If you cannot find it on your site, contact infoodle support.


The panel of original submitted values

The panel sits at the top of the entry in the approval screen, under the row of buttons. It lists the entry ID and the answers held against the form's fields as they stood at the moment you committed the redirect. It follows the same rules as the field mapping summary about which fields hold answers, so see Understanding the Field Mapping Summary for how fields are compared between the two forms.

The panel is there because a redirect writes the entry's answers over to the new form. Without the panel, the answers as they arrived would no longer be on the screen in front of you. infoodle takes the copy at the moment you commit the redirect and keeps it with the entry.

The panel is read-only. You cannot type into it, and it does not change when you edit the entry afterwards. If you redirect the same entry again, infoodle takes a fresh copy at that point, so the panel then holds the values as they stood before the second move.

The two emails

Re-send notification email builds the internal notification again. This is the email infoodle sends to your own people when someone completes the form. The re-sent notification goes to the person and the group named on the form's Form Settings tab, under Notify internal users or group after an entry is completed. It usually opens with "This form entry has been redirected. Current details:", then the entry ID and the entry's current answers as label and value rows.

Re-send response email builds the reply to the person who filled the form in, addressed to the email address held on the entry. It uses the response email set up on the form.

Each button acts on its own email, so you can send one without the other.


Re-send an email

Complete the entry first, so the emails carry the finished information.

  1. Open the redirected entry from the list of entries to approve.
  2. Fill in any field the new form added.
  3. Choose a value for any dropdown field that was cleared by the redirect.
  4. Click Save Entry Changes.
  5. Go back to the yellow panel at the top of the entry.
  6. Click Re-send notification email to build the internal notification again.
  7. Click Re-send response email to build the person's reply again.
  8. Read the message that appears at the top right of the screen.

You can click either button as often as you need. Each click builds the email again from the answers on the entry at that moment.


What the message tells you

infoodle shows a message at the top right of the screen after each click. When an email is built and passed to infoodle for sending, the message confirms the current values were used. For the response email, infoodle checks the email was handed over for sending before it reports it.

An email is not always set up on the form, and an entry does not always carry an address to reply to. In those cases infoodle names the reason instead of reporting a send that did not happen.

Message What it means
Not sent: This form has no notification recipient configured. No person or group is named on the form, so there is nobody to notify. Add a person or a group on the form's Form Settings tab, under Notify internal users or group after an entry is completed, then click again.
Not sent: No recipient email address on the entry. Either the entry holds no email address to reply to, or the form's email field is not set to receive the response. Check the entry has an email address, and that the form's email field is set to send the response to it.
Not sent: This form has no response email configured. The form does not send a reply to the person who fills it in. Set one up on the form's Email Response tab, then click again.
Not sent: The response email could not be generated for this entry. infoodle could not build the reply from this entry. Check the form's Email Response tab.

How this differs from resending an earlier email

infoodle has a second, older way to send a form email again, covered in the Review and Resend Emails article. That one replays an email infoodle has already sent for the entry, exactly as it went out at the time, and lets you review and edit it before it goes.

You will find it on the same entry. Scroll past the answers to the Emails sent block, which lists each recipient under Response Emails sent to and Notify Emails sent to, with a Resend link beside each name.

The two buttons on the yellow panel do something different. They build the email again from the entry's answers as they stand now, and there is nothing to edit first.

  • Use the yellow panel buttons when you want people to have the corrected information after a redirect.
  • Use the Resend links in the Emails sent block when you want to replay an email as it went out, or you want to edit the wording before it goes.

Order matters between the two. Each re-send from the yellow panel replaces the copy of the email that the Emails sent block holds for the entry, so from then on the Resend links replay the re-sent email rather than the one sent when the form was submitted. If you want to work from the email as it was first sent, do that before you use the yellow panel buttons. The answers as they arrived stay available either way, in the yellow panel itself.

What re-sending does not do

  • It does not take a payment again. Re-sending builds an email and passes it to infoodle for sending, and nothing else. Any payment on the entry is left exactly as it is.
  • It does not include answers from the form the entry came from. Only the fields on the entry's current form go into the email. Answers that belong to the old form stay on the entry and stay in the yellow panel, and are left out of the email.
  • It does not change the answers on the entry. Re-sending leaves the entry's answers and its approval status alone, so the entry still waits for you to approve it.

Common questions

I cannot see the yellow panel or the two buttons

They appear on an entry that has been redirected. An entry that arrived on its form in the usual way does not have a panel of original values, so there is nothing to re-send from.

Where can I see the email that went out?

On the same entry, in the Emails sent block. It lists the recipients of the most recent notification and response emails held for the entry, under Response Emails sent to and Notify Emails sent to.

Which answers go into the re-sent emails?

The answers on the entry at the moment you click, on the form the entry is on now. That is the point of these buttons: they build the email from the current values rather than repeating what was first submitted.

Can I edit the email before it is re-sent?

Not from these buttons. They build the email from the entry and pass it to infoodle for sending. To review and edit wording before it goes, use the Resend links in the Emails sent block, described in the Review and Resend Emails article.

Should I re-send before or after I finish the entry?

After. Fill in the new fields, pick a value for each cleared dropdown, click Save Entry Changes, and then re-send, so the emails carry the finished information.

Can I re-send only one of the two emails?

Yes. Each button handles its own email, so you can re-send the internal notification without replying to the person, or the other way round.

The message said the form has no notification recipient. What now?

Open the form's Form Settings tab and name the person, the group, or both, under Notify internal users or group after an entry is completed. Then go back to the entry and click Re-send notification email again.
