Stop, undo or correct a bulk run

Prev Next

A confirmed bulk run is worked through in the background. While it is still queued or running, you can stop it. Stopping doesn't undo anything: what the run has already created, invoiced or emailed stays. A finished run can't be stopped, so you will need to correct it one membership at a time.

Step 1: Stop a run

  1. Open the run's page. From the bulk runs list, click the eye icon beside the run.
  2. In the progress box, click Stop this run.
  3. Read the dialog, then click Stop the run. Keep going leaves the run as it is.

Once stopped:

  • Not yet created: these memberships are not created. Their rows say "Not created: the run was stopped". They are counted on the Not created card, which also counts anyone covered since the preview, so check each row.
  • Not yet invited: these invitations are not sent. Their rows say "Not invited: the run was stopped" and are on the Not invited card.
  • Created but not yet invoiced or emailed: these memberships are kept and listed under Needs attention. Finish them or cancel them, below.
  • Xero: invoices already raised in Xero are left as they are. The stop sends nothing to Xero.

A row that already had a problem keeps its reason in brackets after these words.

The run's status becomes Stopped, and you can confirm a new run for the membership. A stopped run sends no summary email. For a short time the page may say the run is still being worked on while its rows are closed.

To reach the people a stopped run didn't, start a new run. Anyone who already has this membership for the period is skipped.

Step 2: Try again on rows that need attention

Rows a stop left unfinished, and rows that couldn't be finished for another reason, such as an invoice Xero kept refusing, are listed under Needs attention.

  1. Fix what each row says, if anything.
  2. Click Try again in the box above the cards, then Try again in the dialog.

Each row carries on from the step it stopped at, invoiced and emailed as the run was set up.

Try again reopens a stopped run: its status shows Running until those rows are done, and you can't confirm another run for the membership meanwhile. While another run for the membership is being worked through, Try again is refused until that run finishes.

Step 3: Cancel a membership the run created

  1. On the run's page, click the View membership icon on the membership's row.
  2. Click Cancel membership, then Cancel membership in the dialog.

The member is sent Cancellation By The Office, unless that notification is switched off. infoodle doesn't void Xero invoices, so void or credit any invoice for it in Xero yourself. The run's page still counts the membership as created.

A cancelled row stays under Needs attention until you click Try again, which closes it without invoicing or emailing anyone.

Common questions

Can I undo a whole run?

No. Stop it if it is still being worked through, then cancel each membership you don't want, as in Step 3.
