infoodle has the function of using Giving Numbers as a way to combine (or split) receipts between different people.

Giving Numbers provide infoodle with a way of merging people so they either share a common receipt, or share transactions.

For example: Mr & Mrs Smith do their taxes together and therefore wish to receive a single receipt in both of their names. This scenario means they are COMBINING their details using a Giving Number.

Another example: The Browns do their taxes separately, therefore they need separate receipts. This means that a single donation of $100 should generate 2 receipts of $50 each. This scenario means that are SPLITTING their details using the Giving Number.

Your organisation may not need Giving Numbers in order to provide a level of privacy in relation to who gives what money, and therefore the numbers used are in fact meaningless, however they are required to be used in order to get the above functionality to work.

An alternative to the COMBINE option is to load a single record with the names of the couple, e.g. instead of creating a record for Mr Smith and a record for Mrs Smith and putting them in the same household – you could create a single record for Mr & Mrs Smith. This means they will always be referred to as a couple in the database, reports, receipts etc.

Here's how to setup combined or shared Giving Numbers within a household:

  1. Click Finance in the Navigation menu.

  2. Click Giving Numbers (you need permission in your role for this).

  3. Start entering the person's name that you wish to include in the Search for a person to check or setup their giving number box and click on their name.

  4. infoodle will display all the members in the household. Note that this combining mechanism only works for people in the same household.

  5. You can now enter a Giving Number by either clicking USE NEXT AVAILABLE NUMBER to get infoodle to allocate one for you or enter one yourself. The number must not be used currently by another person and infoodle will notify you if the number you enter is already being used.

  6. Select all people this number is to be applied to.

  7. Choose whether you want to COMBINE the transactions into a single receipt or SPLIT them equally into two receipts.

  8. Click UPDATE to save the changes.

Another way to switch between the split or combine options is to go to the person's profile and click on the cog on the left of the person's name, click Finance and Giving Numbers. For more information go to Individuals Finance Activity.
